Freelance invoice template (US, 2026)

US invoicing is simple, but the trap is taxes and documentation: you need clean invoices to back up income and expenses in case of an IRS question — and to keep your 1099s consistent.

What to include on a US freelance invoice

  • Your name / business name + address
  • Client name + address
  • Invoice number + date
  • Service period (especially for retainers)
  • Line items + subtotal + total
  • Payment method (ACH details / card / check)
  • W-9 readiness (your legal name / EIN/SSN handled separately)

When to invoice (US)

  • Retainers: invoice upfront on the 1st
  • Projects: invoice on delivery milestone, not at the end of the month
  • Day-rate: weekly invoicing for new clients

Invoice numbering

Use a sequential scheme (2026-001…). Keep a PDF copy of each invoice. If you issue credit notes, link them to the original invoice number.

US tax notes (quick)

  • Self-employment tax usually applies above $400 net earnings.
  • Clients may send a 1099-NEC for $600+ payments, but you must report all income regardless.
  • Budget for quarterly estimated taxes once you owe >$1,000 in tax.

  • Do I need an EIN to invoice in the US?

    No. You can invoice as an individual. Some clients will request a W-9 and prefer an EIN for privacy, but it is not required to send invoices.

  • Should I include sales tax on a US freelance invoice?

    Usually not for most services, but rules vary by state and service category. If you sell taxable products or certain services, state sales tax may apply.

  • What payment terms should I use in the US?

    Net 14 is a good default for smaller clients. Larger clients often push Net 30. For new clients, weekly invoicing or deposits reduce risk.

  • Where do I read the US 1099 / Schedule C tax rules?
